    Health & wellness

    Mental health emergencies or crises require immediate intervention and, for everyone's safety and well-being, you should never attempt to handle these situations by yourself. The following resources are available 24/7:

    • Call the Netcare Access mental health crisis line at 614.276.CARE (2273).

    Examples of mental health crisis or emergency include when a person is:

    • Threatening or immediately considering suicide or serious self-injury
    • Threatening or immediately considering homicide or harming others
    • Acting erratically or extremely different from what is typical for the person
    • Under the influence of a substance and behaving dangerously

    Housing & residence life

    The Office of Residence Life & Housing oversees CCAD’s two residence halls:

    • Schottenstein Residence Hall houses incoming students.
    • Design Square Apartments (DSA) houses mostly upper-level students.

    Students fill the peer leadership role of Resident Advisor (RA) to ensure the safety and security of all residential students, offer educational, personal, and professional assistance when appropriate, and provide appropriate referrals.

    Thirteen students serve as RAs and two students serve as alternate RAs.

    The Resident Advisors host more than 60 social and educational programs for residential students throughout the school year. Students enjoying seeing and interacting with faculty and staff in the residence halls, so involvement is highly encouraged.

    Library resources for students

    Have students email [email protected] to set up an appointment with a librarian.

    Students are welcome to meet in the library! The Group Study Room can accommodate small groups of up to 15 people. It is open for use during library hours and is available on a first come, first served basis or by making a reservation. To reserve the Group Study Room, stop by the library’s front desk or email [email protected].

    Academic Year Library Hours
    During the academic year, the library is open Monday through Thursday, 7:30 a.m. to 9:30 p.m., Friday 7:30 a.m. to 5 p.m., and Sunday 1 p.m. to 5 p.m.

    Summer Hours
    The library’s summer hours are Monday through Friday, 8 a.m. to 5 p.m. It is closed on weekends during summer.

    Yes, absolutely. Official CCAD alumni have lifetime borrowing privileges. Please come to Packard Library on the lower level of Joseph V. Canzani Center, at the corner of Cleveland Avenue & E. Gay Street, to fill out an information form.

    Yes, alumni can use the library’s databases while in the library. Due to contractual terms, CCAD alumni cannot use online resources remotely.

    Animals on campus

    CCAD recognizes three different types of animals on campus:

    1. Pets
    2. Emotional support animals
    3. Service animals

    Attendance

    CCAD believes attendance is essential to student learning. There are no excused absences and a student may receive a failing grade if absences total more than the limit for a course as outlined below:

    • Course meets once per week: no more than two absences per semester
    • Course meets twice per week: no more than four absences per semester
    • Course meets three times per week: no more than six absences per semester
    • Course meets four times per week: no more than eight absences per semester
    • Online, independent study, or other course type: at the discretion of the faculty member

    The CCAD Absence Policy addresses specific exceptional circumstances and a process by which students can pursue absence flexibility. To read the types of circumstances that qualify and the process by which students can pursue this support, see the Student Handbook under Attendance Policy.

    We encourage faculty to first engage the student directly about the absences and ask what is causing the lack of attendance. If the student does not respond or if their feedback points to concerns about their well-being and/or academic progress, faculty can submit a CARE Report to CCAD’s CARE Team. This is a system by which reports of concerns about students are routed to trained administrators who will conduct appropriate outreach to support the student.

    There are times when dropping the class may be the only option. If this is the case, students should be encouraged to speak to their academic advisor to understand the impact of this decision and the process for dropping classes.

    CCAD does have an Incomplete Policy for extenuating circumstances that impede a student’s ability to finish coursework. The policy is located in the Student Handbook. The Incomplete Petition Request Form is available at the Registrar's Office.

    CCAD offers reasonable and appropriate accommodations to students with a disability(ies). Accommodations serve to provide students equal access to their education at CCAD. We work with students to co-develop a reasonable accommodations plan. More information is available on MyCCAD.

    CCAD’s Disability Grievance Process and Procedure can be found on MyCCAD and students should be directed there to read the process in its entirety. They can also contact [email protected]

    If a student presents an accommodations letter that lists distraction-reduced testing and/or extended time on tests, they should supply instructions for this process to faculty directly. If not, please ask them for it. You can also contact [email protected] with questions.

    Career services

    Find details of upcoming Recruiting on Campus or R.O.C. Show information sessions, workshops, and the Connections Career Fair on the MyCCAD Events calendar. Recruiting events specific to a narrow target audience are often communicated directly to students representing those programs/levels and the corresponding program chair via email.

    Students are encouraged to take internships or other experiential learning opportunities as much as possible. Internships can also be counted for credit in many instances. To qualify for credit, the internship must employ the student at least 240 hours during the term they are receiving credit (Fall, Spring, or Summer), have them do work related to their major or career interests, and be supervised by a creative professional related to their field. For Fall or Spring semester, 240 hours equals 15 hours per week.

    Taking an internship for credit means the student must also complete a course component that structures and reflects their learning in the internship. This course is worth 3 credit hours. A student can take the internship course twice while at CCAD.

    Co-op positions are essentially “full-time” internships, and must abide by the same qualifications, but with a higher hour requirement. In this case, the student is working at least 640 hours during the semester and can potentially replace classes in their major. Therefore, a student may receive up to 12 to 15 credits for a full-time co-op. The number of credits they receive is based on what classes they have yet to take and whether they line up with their responsibilities in the internship.

    Co-ops must be initiated with Career Services, but also require approval from the program chair and dean before being finalized. Co-op students also must complete a course that structures and reflects their learning in the position. Co-ops can only be done once.


    Student engagement

    CCAD helps new students in a variety of ways, including events such as Welcome Week and Welcome Fest in the fall and a Student Engagement Fair held at the beginning of each semester.

    New students must also go through Orientation:

    New Student Orientation: This help students gain firm footing before they begin their college career at CCAD. Here students meet and mingle with Orientation Leaders and current students. Students also learn about their major, meet with faculty, and have opportunities to engage with campus support offices. 

     

    The Student Engagement & Inclusion Office, located in Crane Center, oversees programming and events and offers a social outlet for students at CCAD while also providing educational and leadership opportunities outside the classroom. This includes student organizations, leadership development, and signature events, such as Big Boo. 

    CCAD has a variety of student organizations. The Student Engagement Fair, held each fall, is a great way for students to check out all the groups and sign up for any they’re interested in joining. Student organizations are open to anyone that wants to join!

    The Student Engagement Fair is held each fall semester to showcase the variety of student organizations at CCAD. Students can find groups based on their interests, ask questions, and sign up to become members of a current student organization.

    The best way to get involved on campus is to show up for campus events, art exhibition openings, and attend guest speaker sessions. There’s always something going on at CCAD.

    The mission and goals of the advisor(s) for student organizations is to provide a helping hand operating a student organization by creating a rapport that best fits the needs of the students and the student organization within the mission of the college. You are to be a liaison for students between faculty, staff, and administrators.

    Advisors should offer another perspective to help students gain insight in how decisions are made and help students think holistically by meeting with the group or, at minimum, the president of the student organization on a regular basis. 

    Social events are held throughout the year and include:

    • Welcome Week and Welcome Fest
    • Big Boo Halloween Party
    • Movie nights, and much more

    Student Government Association (SGA) is an organization in which students are elected and become important leaders on campus. The members of SGA have the ability to effect change on campus and address the issues and concerns of the student body as a whole.

  • Facilities

    CCAD has insurance coverage on all college-owned vehicles as well as property and liability insurance for events held at outside facilities. If renting a vehicle, please waive the optional coverage as this is covered as well. If a vendor needs to be named as an “additional insured” please contact the Business Office, located in the Administration Building 107 N.     Mail

    A mailbox can be assigned to you in the mailroom located in the Administration Building at 107 N. Ninth Street. Please come to the mailroom and bring your ID card with you to make the request. For more information please contact [email protected].

    Yes, though we ask that staff and faculty refrain from having personal packages delivered to campus as this takes valuable time away from serving our students and managing the college’s business mailings and deliveries.

    IT Help Desk: While school is in session the IT Help Desk has staff available from 8 a.m. to 6 p.m., Monday through Thursday; Friday, 8 a.m. to 5 p.m.

    Print Lab: The Print Lab, located on the first floor of Kinney Hall, 470 E. Gay Street, room 220, right next to the IT Help Desk, is open from 7:30 a.m. to 9 p.m. Our trained student workers offer support by phone and will create a support request for a technician if they are unable to resolve your problem.

    After hours: Even when the Help Desk is closed you can email [email protected] and a request will be automatically generated in our ticketing system.

    Security staff are available 24/7/365 by phone at 614.222.6165. For quick accessibility we recommend storing the number among your contacts. The office is located in the Administration Building, at 107 N. Ninth Street, and is open Monday through Friday, 8:30 a.m. – 5 p.m. You can also email us: [email protected].

    Budget & expenses

    You can access budget reports via an internet link provided by the Business Office. Each fiscal year has its own link. These links are distributed via email during the first month of the new fiscal year (July). Links may be requested any time during the year if they are deleted from your browser. Contact Cheryl Kleva at [email protected] or 614.437.7415 to request a budget report link.

    The reports are updated weekly, overnight on Wednesday and Friday. This coincides with check run processing on Tuesdays and Thursdays.

    For all authorized expenses and for student reimbursement, use the “Expense Report_Reimbursements, Mileage, etc.xlsx” form, available from Tabitha Miller at [email protected] or Cheryl Kleva at [email protected]. Save the form as a template to re-use for future expenses.

    When you submit the form, attach original receipts, and, if being reimbursed for mileage, include a map of your starting and ending destination. Note we do not reimburse for mileage from your home to CCAD.

    Other details:

    • There is no restriction on the number of expense reports submitted.
    • Reimbursements are typically processed within 5 to 7 business days.
    • Reimbursements are by check, which are generated every Tuesday and Thursday.

    Your credit card PIN is a four-digit security code assigned by Bank of America, for each individual cardholder. This PIN may be requested at the point of sale for making a purchase. For issues with PINs, you will need to contact Bank of America’s Customer Service department at 888.449.2273.

    Credit card accounts are locked after three failed attempts to login to the Bank of America GRAM website.

    To unlock your credit card account, you must contact either Tabitha Miller at [email protected], or Cheryl Kleva at [email protected] in the Business Office for assistance.

    Credit cards are typically unlocked within one business day of the request to unlock being received by the Business Office.
     

    Please contact Bank of America’s Customer Service department at 888.449.2273 for help if it won’t work, or as soon as you’ve realized that your card is lost.

    Credit cards are issued by the College to employees that require quick access to goods and services that are incurred as an integral part of their work on behalf of the College. They should never be used for purposes that are not 100% business related. The Internal Revenue Service requires us to maintain documentation that supports the business purpose of credit card charges. All receipts that are turned in with your monthly statements should include a description of the item or service purchased and an explanation of how it is to be used within the College operations. For any travel and entertainment expenses, the following needs to be documented:

    1. All persons being entertained
    2. Brief description of the purpose or business being discussed
    3. Itemized bill that includes food and beverages purchased

    The administrative effort required to process all of the credit cards that have been issued is enormous and your prompt attention to returning the monthly statements is greatly appreciated. As a part of my duties, I monitor the credit card processing for compliance with the above requirements. Please call at Roger Escolas at ext. 3264 if you would like to discuss any concerns you might have with credit card usage.

    The due date will always be posted on the Bank of America GRAM News section on the Bank of America Global Reporting and Account Management website. This is the website that manages and tracks all Purchase Card transactions. Once logged into the website the News section appears in the top right corner of the Home page.

    The due date is usually within the first 7 business days of the new month. It’s important to keep track of this and make timely submittals; chronic late submittal could result in your card being cancelled.

    Please contact your immediate supervisor with your request.

    Submit your invoice to Accounts Payable with the required authorized signature, budget number, and date. Also include a brief description on the invoice, though not on the remittance section, of what the purchase is for. That description will appear on budget reports.

    Invoices are paid via checks, which are processed weekly on Tuesdays and Thursdays, based on payment terms on the invoice.
     

    To reimburse students for XX, use the “Expense Report_Reimbursements, Mileage, etc.xlsx” form, available from Tabitha Miller at [email protected] or Cheryl Kleva at [email protected]. Save the form as a template to re-use for future expenses.

    When you submit the form, please be sure to use the student’s legal name, not nickname and attach original receipts. For mileage reimbursements, include a map of the students’ starting and ending destination.

    If you would like the check returned to you, please make a note of this on a post it note attached to the reimbursement request.

    Our preferred method of paying international vendors is via check, unless a wire transfer is specifically requested.

    To request a wire transfer, the “CCAD_Wire_Transfer_Template.docx” form must be completed and sent to the Controller together with the original invoice. Contact Cheryl Kleva at [email protected] to request a copy of the Wire Transfer template. Note that wire transfers are discouraged as there are additional bank fees associated with them.

    Purchase Order forms are available in the mailroom, which is located in the Administration Building, 107 N. Ninth Street.

    To check status, check the GP Self-Service Reports to see if an invoice has been posted to your account or department. The GP Self-Service Reports Library is accessed via the internet, through a link provided by the Business Office. There is a separate link for each fiscal year’s reports library.     Note that:

    • Invoices are posted within 2 to 3 business days after receipt by Accounts Payable.
    • Vendor invoices are paid based on the payment terms stated on the invoice.
    • Reimbursement payments to employees and students are processed within 5 to 7 business days from receipt of the reimbursement request.

    When you need office supplies, simply submit your list to Deanna McCutcheon, Administrative Support Supervisor, [email protected], who will fill your request and notify you via email when supplies are ready for pick-up.

    Access Squareup.com to create a new Square account. The Business Office will provide the required bank account information.

    CCAD is exempted from sales tax because we are registered as a Section 501(c) (3), Not-for-Profit Entity with the IRS.

    There is no tax exempt number, only a form — the Sales and Use Tax Blanket Exemption Certificate — that is required when engaging with a new vendor to ensure sales tax is not charged on new purchase(s). Request a copy from the Business Office, located in the Administration Building 107 N. Ninth Street.

    Congratulations! You will need to submit a completed W-9 and a signed contract from the contract vendor to Accounts Payable. Please note that every contract must be approved and signed by the Chief Fiscal Officer, before work commences, which usually takes 5 to 10 business days.
